In addition to the standard options noted above under Run Reports from Reports Menu, each report has other parameters you can set.

You can run these reports from the Reports menu, or by clicking the Print button in upper right corner of the Event Maintenance screen.  If you run the reports from the Event Maintenance screen, they will only print the report for the event you are currently viewing.  If you run the report from the Reports menu, you can view reports for all of the events in the date range you choose.

Remember that in the reports you run, if the records are somehow linked to events, you can only view those records that are linked to events containing at least one location to which you have viewing rights; review Chapter 1: Setting Up EventPro, Step 10: User Rights, Creating User Right Groups: Location Rights.

Lists Balances for all Events, displaying the Booking Number, Company Name, Event Name, Billable Amount, Invoiced Amount, Un-Invoiced Amount, Payments, Credits and Totals.

1.Under Report Options, select the Cutoff Date.
2.Enter a figure for Print Balances Greater Than or Equal To or check the box if you want to Include Negative Balances.

NOTE: The Event Balances report will not able to take into account payments made against Consolidated Invoices.  For more information, refer to Chapter 3: Event Maintenance, Review Financial Summary.

Lists Companies that have been invoiced within the selected date range, displaying the amount Invoiced (Pre-Tax and Tax In), amount Paid, Balance and Totals.

1.Choose the Invoice Date Range.
2.You cannot access the Sort button for this report.

Similar to the Customer Billing Summary, above, but breaks down how much each company has been invoiced for each event.

Lists all Invoices, including Date, Due Date, Booking Number, whether Void, Description, Company, Amount, Paid, Credits, Balance and Totals.

Lists all Receipts, displaying Receipt Date, Company, Payment Information (such as Credit Card Expiry, Bank, Account #, etc.), Booking Number, whether the payment was Voided, Payment Type, Description, Amount and Totals.

Displays the income earned from each Booking for each Account Group, as well as the Date of the booking, Status, Cost Center, Total, Payments and Amount Due.

1.Select the Resource Item Date Range from the drop-down calendars.
2.Under Report Options, check the box if you want to Include Taxes in Account Group Totals.
3.Select the checkboxes next to the Account Groups that you want displayed in the report.  The <TAXES> option will display the tax total in a column of the report.

In addition to the standard options noted above under Run Reports from Reports Menu, there are some other report options you can choose from.

Lists outstanding Invoices, indicating whether they are Current, Over 30, Over 60 or Over 90, and displays the number of days overdue.

Lists Companies that have been invoiced, indicating whether the invoices are Current, Over 30, Over 60 or Over 90, and displays the number of days the Oldest invoice for the company is overdue.

1.Check the box under Options if you want to Show Overdue (invoices) Only.
2.Select the date range within which the Invoice Due Date must fall.

In addition to the standard options noted above under Run Reports from Reports Menu, you can also select the Date Range for the items appearing in these reports.

Shows a Location Group on each page, displaying for each location the Hours in use, Cost/Hr., Price/Hr., Average Discount, Average  Net, Total Cost, Total Price, Net Price and Margin.

Shows a Setup Sub-Group on each page, displaying for each setup item the Quantity, Avg. Cost, Avg. Price, Avg. Discount, Avg. Net, Total Cost, Total Price, Discount, Net Price and Margin.

Shows a Staffing Sub-Group on each page, displaying for each staffing item the Quantity, Av. Cost, Avg. Price, Avg. Discount, Avg. Net, Total Cost, Total Price, Discount, Net Price and Margin.

Shows a Catering Configuration on each page, displaying for each catering item the Quantity, Av. Cost, Avg. Price, Avg. Discount, Avg. Net, Total Cost, Total Price, Discount, Net Price and Margin.

Shows a Beverage Configuration on each page, displaying for each beverage item the Quantity, Av. Cost, Avg. Price, Avg. Discount, Avg. Net, Total Cost, Total Price, Discount, Net Price and Margin.

Shows Miscellaneous Items, displaying the Quantity, Av. Cost, Avg. Price, Avg. Discount, Avg. Net, Total Cost, Total Price, Discount, Net Price and Margin for each.

As well as the standard options noted above under Run Reports from Reports Menu, you can select the Resource Item Date Range and check the boxes under Sub-Group to select the items you want to see in the report.

Lists the Start Date, Booking Number, Contract Number and Client for each event in the date range, and displays the Billable amount, Discount, Net Billable, Pre-Paid, Revenue, Cost, Net and Margin for each.

Lists the clients that have been charged for events within the date range and displays the Billable amount, Discount, Net Billable, Pre-Paid, Revenue, Cost, Net and Margin for each.

The same report as the Event List above, except that it breaks down the event charges according to each Item Sub-Group.

The same report as the Customer List above, except that it breaks down the charges according to each Item Sub-Group.

Displays the Billable amount, Discount, Net Billable, Cost, Net, Margin and Units/Days Sold for each Revenue Sub-Group for each Location Code in the specified date range.

Displays the Billable amount, Discount, Net Billable, Pre-Paid, Revenue, Cost, Net and Margin for each Item Sub-Group in the specified date range.

The same report as the Sub-Group Summary above, except the amounts are only broken down for each Group.

In addition to the standard options noted above under Run Reports from Reports Menu, you can select the Resource Item Date Range for these reports.

Lists the Suppliers, Revenue and Cost for the specified dates.

The same report as the Supplier Expense Summary, except that it breaks down the amounts owed to each Supplier by Event.
