Bookings Overview

Click the Bookings button.

At the top of this page, you will see the Date Selection Calendar on the left, the Location Group drop-down box in the middle and Status Legend on the right. In the bottom half of the screen is the Booking Calendar, with the dates/times along the header row and the locations along the left side.

Remember, you will only be able to see Locations if they were set up to appear on the website. When you set up your locations in Chapter 1: Setting Up EventPro, Step 8: Locations, you need to check the Show on Web box for the location to appear in EPWeb.
To view a different month, week or day of the booking calendar, click on the Month, Week or Day button at the bottom left. The Booking Calendar will adjust to the new date setting.
To switch days, weeks or months, click on a date in the Date Selection Calendar in the upper left corner. Use the single arrows to scroll through months and the double arrows to scroll through years. |
The Locations along the left side of the calendar will be grouped by Location Group. If the booking calendar appears too cluttered because of the number of locations, you can limit the Location Groups that appear. Select the location group you want to view from the Location Group drop-down list. To determine the location group that appears by default when the user views the booking calendar, see Server Configuration: [Booking Calendar] below. |

Any booked locations or restrictions will appear as colored cells. Review the legend to determine the status of the event. Remember that whether an event appears in the calendar depends on three settings in EventPro.
If you float your mouse over a booked location, the Booking Number, Event Name, Date and Times will appear. If there is an (R) in front of the Booking Number, it means that it is a related location; the actual location is not booked, but the booking of a related location makes it unavailable. Click on a colored cell twice to view Event Information. See Event Information below for more information. |
Click on a Location in the left column of the calendar to move to the Location View and view its General Information, Features and Setup Types.
Click the Back button at the bottom of the page to return to the calendar. |
Click on a cell in the booking calendar. To create a new booking for that selected date and location, click on the New Booking button next to the Month, Week and Day buttons. To continue with creating the new booking, see New Booking below. |
