Before you can log in to EPWeb, you must adjust some settings in EventPro to determine who can access EPWeb and how much information they can view and/or alter.

EPWeb is not a web-based version of EventPro.  It is a client-end interface that uses company/contact logins, not EventPro user logins.  Therefore, you cannot log in to the Web Module as an EventPro user.  You must log in as a company or company contact set up in your Company/Contact database.

It is recommended that you add your own company to the EventPro Company/Contact database.

Review Chapter 1: Setting Up EventPro, Step 6: Company/Contact, Entering a New Company.  In particular, review Online Rights under Entering a New Company.  Enter the User Name and Password for your company, and choose the online rights your company will have.

You can also assign different online rights to a contact within a company. So, for example, you may want to assign different rights to different users within your company.  See Chapter 1: Setting Up EventPro, Step 6: Company/Contact, Entering a New Contact: Online Rights.

If you want to allow external companies to access EPWeb in order to make requests, or book or edit events, you can adjust their Online Rights accordingly. Review Chapter 1: Setting Up EventPro, Step 6: Company/Contact, Entering a New Company.

However, it is recommended that you limit the online rights of external companies.  If you have many different companies freely creating and editing on-line bookings, this could cause a great deal of confusion and extra work for your event manager.

Each event in EventPro will be set up with a Web Status, which determines how much information about that event can be viewed on the web.  You can choose to hide all information, display only the event date and time, etc.

You set up the default Web Status in Chapter 1: Setting Up EventPro, Step 1: System Settings, Events (the Default Web Status drop-down list).

However, when booking or editing an event, you may have selected a different status.  See Chapter 2: Create a Booking, Creating a New Booking: Event Information and Chapter 3: Event Maintenance, Modify Event Information: Event Tab.

The regular Status of the event may also affect whether you can view the event on EPWeb.  Review how to create an event status in Chapter 1: Setting Up EventPro, Step 2: Status Codes, Event.  Note whether the Show on Web checkbox is selected for each status code.

Before you access the Web Module, you may want to create a special Status for events booked through the web.  You could, for example, name the status “Web” and assign a special color to distinguish it from other statuses.  Ensure that you check the Show on Web option for the status.

To make this Status the default status for events booked on EPWeb, go to Setup | System Settings and click the Events Tab. At the bottom under EPWeb Options, choose your web status from the Online Status drop-down list.  Note that this is different from the Default Web Status you chose above.
