Set Restrictions (Location or Group/Global)

A restriction is applied to a location or number of locations to close them for a specified period of time. For instance, you may need to close individual rooms for cleaning, maintenance or renovations, or you may need to close the whole facility for a holiday.

You may have created location restrictions earlier under Setup | Location | Locations, or you may have created Group/Global Restrictions under Setup | Location | Group/Global Restrictions.  However, you can also set restrictions here in the Booking Calendar.

Selecting New-Location applies a restriction to one location or room.

1.Click the Booking Calendar button located in the upper left corner of the EventPro Screen.
2.In the Booking Calendar, click to highlight the cell or cells to which you want the restriction to apply.
3.Select Restriction | New – Location from the Button bar.  The Location Restriction [New] window appears.

4.Enter a name for the restriction in the Description field. Examples might be “Renovations” or “Carpet Cleaning.”
5.Enter the From Date and To Date by either typing in the fields, or selecting from the drop-down calendars.
6.Enter the From Time and To Time of the restriction. These are the times that apply each day of the restriction. Default times may already appear if you set Location Restriction Default Times in your General System Settings.
a.For example, if you have a restriction set from Monday, May 22 to Wednesday, May 24, with times from 9 AM to 2 PM, the restriction applies Monday 9 AM to 2 PM, Tuesday 9 AM to 2 PM and Wednesday 9 AM to 2 PM, with the other times during the days appearing as unrestricted.  The restriction does not apply from Monday at 9 PM through to Wednesday at 2 PM.
b.To create a restriction that applies Monday through Wednesday, you would set the restriction times as midnight to midnight each day.
7.Select the Conflict Level from the drop-down list.
a.Full: If a restriction conflict level is set as “Full”, you will not be able to book a conflicting event.  Once a restriction with a “Full” conflict level setting is in a time slot, nothing else can use that time slot (except for an event with the “Ignore” conflict level).
b.Warn: If a restriction conflict level is set as “Warn”, EventPro will warn you of any booking conflict, but will not prevent the booking.
c.Ignore: Restrictions with this conflict level do not conflict with any events.  Restrictions of this level will not be considered when EventPro performs a conflict check.
8.Under Options, check the boxes if you want the restriction to Show on Calendar Year View, Show on Calendar Month View, Show on Calendar Week View and/or Show on Calendar Day View.
9.Click Save.

Selecting New – Group/Global applies a restriction to a group of locations or all locations. For example, you might choose to create a global restriction if you need to close all the locations for a public holiday, or you might create a group restriction if all the rooms on the second floor of your facility are closed for renovation.

1.Click the Booking Calendar button located in the upper left corner of the EventPro Screen.
2.You do not have to highlight any particular cell.  Simply click Restriction | New – Group/Global in the Button bar.
3.The Restriction [New] window appears.

4.From the Type drop-down list, select whether you want it to be a Group Restriction or Global Restriction.  A global restriction applies to the entire facility, while a group restriction applies to all locations in that Location Group.
5.If you are creating a Group Restriction, select a Location Group from the Group drop-down list.  The Location Groups in the drop-down list are those you created when entering Locations under Setup | Location | Locations.
6.Enter a description in the Description field.
7.Enter the From Date and To Date of the restriction.
8.Enter the From Time and To Time of the restriction.  These are the times that apply each day of the restriction.
a.For example, if you have a restriction set from Monday, May 22 to Wednesday, May 24, with times from 9 AM to 2 PM, the restriction applies Monday 9 AM to 2 PM, Tuesday 9 AM to 2 PM and Wednesday 9 AM to 2 PM, with the other times during the days appearing as unrestricted.  The restriction does not apply from Monday at 9 PM through to Wednesday at 2 PM.
b.To create a restriction that applies Monday through Wednesday, you would set the restriction times as midnight to midnight each day.
9.Select the Conflict Level from the drop-down list:
a.Full: If a restriction conflict level is set as “Full”, you will not be able to book a conflicting event.  Once a restriction with a “Full” conflict level setting is in a time slot, nothing else can use that time slot (except for an event with the “Ignore” conflict level).
b.Warn: If a restriction conflict level is set as “Warn”, EventPro will warn you of any booking conflict, but will not prevent the booking.
c.Ignore: Restrictions with this conflict level do not conflict with any events.  Restrictions of this level will not be considered when EventPro performs a conflict check.
10.Under Options, check the boxes if you want the restriction to Show on Calendar Year View, Show on Calendar Month View, Show on Calendar Week View and/or Show on Calendar Day View.
11.Click Save.

1.Click the Booking Calendar button located in the upper left corner of the EventPro Screen.
2.In the Booking Calendar, click to highlight a cell that contains the restriction you want to edit.
3.In the Selection Grid, either right-click on the restriction and click Edit, or select Restriction | Edit in the Button Bar.  The Location Restriction [Edit] or Restriction [Edit] window will appear.
4.Make your changes in the appropriate fields.
5.Click Save to save the changes or Cancel to retain the previous information.

1.Click the Booking Calendar button.
2.In the Booking Calendar, click to highlight a cell that contains the restriction you want to edit.
3.In the Selection Grid, either right-click on the restriction and click Delete, or select Restriction | Delete in the Button bar.
4.In the Confirm box, click OK to delete or Cancel if you change your mind.
