Add Group Details to Registration Groups
The event functions will appear in the Functions selection grid in the bottom left corner of the screen.
You can now edit function information, create attendee function rate codes and add functions to registration groups.
To edit function information, click on a Function and click the Edit button.

The Registration Function Edit [Edit] window opens.

You can view, but not edit, the Function name, date, times and location.

Under Registration Limits, enter the Minimum and Maximum number of registrations that can be received for this individual function. This number may be different than the minimum and maximum for the overall registration package.

Under Charges, enter the amount for an individual attendee Registration.

If tables can be purchased at this function, check the Charge by Table box and enter a Table Charge.

The charges entered here will be the defaults that will apply unless you create rate codes for the functions (see Attendee Function Rate Codes below), or if none of the rate codes apply for a particular registration.
If you want to use individual Rate Codes for the functions within this registration package, click to highlight the Function in the bottom left and click the Rate Codes button to the right.

In the Attendee Function Rate Code window, click the New button in the upper right corner.

The Function Rate Code [New] window opens.

You created a master list of standard function rate codes earlier in Chapter 1: Setting Up EventPro, Step 7: Rate Codes, Attendee Function Rate Codes.

To select one of those rate codes, click the Find button next to the Rate Code field.

In the Standard Rate Codes window, select the appropriate rate code and click OK.

Back in the Function Rate Code [New] window, the information for that rate code will default into the fields. You can then change any information as required for this particular function.

If you want to create an entirely new rate code, enter the information in the fields under the Rate and Criteria tabs. Refer to Chapter 1: Setting Up EventPro, Step 7: Rate Codes, Attendee Function Rate Codes for further instructions.

When you are done creating or adjusting the rate code, click Save. Continue to add as many rate codes as required for this function.

When you are done adding rate codes for this Function, click Close in the bottom corner of the Attendee Function Rate Code window.

To add rate codes to another function, select the function from the Function grid in bottom left corner of the screen and click the Rate Codes button to the right. Continue working through the list of functions until you have added rate codes to as many functions as you need.
After you have assigned rate codes to functions, if required, go to the top selection grid of the screen and click on the Registration Group to which you want to add functions.

To add functions to the registration package, double click the functions in the bottom left grid or use the > or >> arrows next to the grid. The functions will be added under the Group Details tab to the right.

To remove functions, use the < or << arrows.

To adjust the final settings of the registration package, click on a Function under the Group Details tab and click on the Edit button to the right. The Event Registration Group Function [Edit] window opens.

If you want to change the order of the functions in the Group Details list, enter a new Sort Order number.

If the item is optional, check the Is This Item Optional box. If you do not check this checkbox and an attendee registers for this registration group, the function will be pre-selected and you cannot un-select it.

If you check the Is This Item Optional box and you want to charge for this function in addition to the registration package charge, check the If Optional, Is This Item Charged checkbox.

Click Save.

To indicate whether the functions are Optional and Charged, you do not necessarily have to click the Edit button. You can also check the Optional and Charged checkboxes for the functions in the Group Details selection grid at the bottom right. Hold down the Alt key and click on the checkboxes to select or unselect them.
