Register Attendees
Remember that before you can register Attendees, you must create Registration Groups (see Create Registration Group above).
1.
Click on the Attendees tab and the View Attendees tab in the Event Maintenance screen.

Find the Attendee you want to register and click on the Registration Details tab in the bottom half of the screen.

Click the New button between the two selection grids under the Registration Details tab.

The Registration Item Selection window appears.

This window will contain a list of all registration groups available to this attendee. The available functions are listed beneath the registration groups, along with their dates and times. The Table, Available, Charge, Quantity and Total fields will be empty when you first open the window. They will be filled later when you select the registration group(s) to which this attendee will belong. Use the Scroll Bar on the right to view additional information below.

At the top, the Date Booked will default to today, but you can choose another date from the drop-down calendar. Remember that the date of registration may determine which Rate Code is used, depending on how you set up your codes (e.g. if you created an “Early Bird” rate).

Under Registration Items, check the Registration Group to which you want to add this attendee. You can select more than one group, as long as the registration groups are not Mutually Exclusive.

When you check a Registration Group, its other fields will be enabled.
a.
The Available column will display how many spaces are left in the group.
b.
A Charge will default in. If there is an applicable Rate Code for the circumstances, it will default in as the charge. If there is no applicable rate code, the default Registration Charge you entered when setting up the group will appear. You can also type in a new Charge, if you wish.
c.
If necessary, enter a Quantity. The Total will adjust accordingly.

Also, when you select a registration group, the functions for that group will be enabled. Check the boxes next to the Functions that this attendee will attend.
a.
Remember that the number of functions that an attendee can choose may be limited (the Max. Item Selection field when creating the registration group). If you try to select more than the set maximum, the Information dialog box will inform you that you can only select # items from this group.
b.
If a function is mandatory for a registration group (i.e. you did not check the Is This Item Optional box when adding the function to the registration group) it will already be checked and you cannot unselect it.
c.
If a function conflict arises, the Confirm dialog box will warn you that this item conflicts with another function. If you want to allow the conflict for the attendee, click Yes.

As you select Functions, their fields will be enabled as well.
a.
If there is a separate charge for the function, it will appear in the Charge field. The charge will default to the applicable function Rate Code for the circumstances. If there is no applicable rate code, the default Charge you entered when adding the function to the group will appear. You can type in a new Charge, if you wish.
b.
If no Charge field appears for a function, no additional charge has been set up for the function within the registration group.
c.
Enter a Quantity of individual entries/seats for the function.
d.
If the attendee is able to purchase a table for the function, the Table checkbox will be enabled. If you check the Table checkbox, the table price will default into the Charge field. Again, the charge will default to the applicable function Rate Code for a table. If there is no applicable rate code, the default Registration Charge for a table will appear. If you check the Table box, the Quantity you enter will be the number of tables purchased.
e.
If you want to add any additional information about a selected function, click the Notes button to the far right of the function. Type any notes into the Attendee Registration Group Detail Notes window and click OK.

When you are done selecting registration groups and functions for this attendee, click the Save button.

The Groups and Functions will appear under the Attendee’s Registration Details tab.

To the left, the Booked selection grid displays the number of registrations booked for this Attendee (each time you clicked New to open theRegistration Item Selection window and saved changes) and the date each registration was booked. These records are kept for the purpose of invoicing the attendee.
