Importing Companies/Contacts

Click on the Company/Contact button to open the Company/ Contact screen.

Click on the Company List View tab or Contact List View tab. Click the Detail Options button to the right and select Import.

1.In the Import Type dialog, choose an Import Type:
a.Companies
b.Company Contacts to Selected Company: With this option, you will import all of the contacts to the company you have highlighted in the List View tab.  Ensure that you have selected the correct company and click Yes in the Confirm box.
c.Company Contacts to Multiple Companies:  With this option, the names of the companies in your import file must exactly match the names of the companies to which you want to add contacts in EventPro.   For example, if the import file associates Jane Smith to “Company X” and John Brown to “Company Y”, there must be a “Company X” and “Company Y” in your database in order for the import to work.  Click Yes in the Confirm dialog to continue.
2.Click OK.  The Company Import Wizard or the Company Contact Import Wizard will open.

1.You can import companies or contacts from a variety of sources: CSV (Comma Separated Values) File, Microsoft Excel File, or Microsoft Access Database (Use Table Name or SQL Statement).  Select the radio button next to the import method you want to use.
2.Click the Open icon to the left of the Import File field.
3.In the Select File to Import window, locate the appropriate file and click Open.

4.If you are using a Microsoft Access Database, type in a Table Name or SQL Statement.
5.Click Next.

In this screen, you will review the imported data and associate it with fields in the program.  The list of Import Table Fields on the right displays all fields in the program into which you can import data.  The pane on the left represents a table view of the data you are importing.

1.If you have any saved templates, you can select one from the Template drop-down list at the top.
2.If you are not using a template or need to add more import data fields, select a field on the right and drag it onto the corresponding column in the left pane. The data from the column will be imported into the field you associated with it.  Ensure that you scroll to the right to view all of the information and assign it to the correct fields. NOTE: You can now import to user fields you created for Companies and Contacts.  To learn more about user fields, see Chapter 14: User Fields.
3.If you want to save your newly created template for future use, click Save Template, enter a Name for the template and click OK.
4.When you are done, click Next.
Click to Expand/Collapse textReview, Edit and/or Delete the Converted Data

The Import Wizard will now be populated with companies or contacts from the import file. In this page, you will review your converted data in the fields you selected.   Scroll to the right to see all of the information.

1.To filter the list so that you only view and import certain companies/contacts, click the Set Filter button in the bottom left corner.
a.To review how to set a filter, see Introduction: Common Function, Setting a Filter.
b.To clear the filter, click the Clear Filter button.
2.From this screen, you can make data changes that will apply to all companies/contacts in the list or those you select from the list.
a.Select the companies/contacts you want to edit or set a filter to view only a certain batch of companies/contacts.
b.Click the Multi-Edit button.  The Multi-Edit window will appear.  Enter the relevant information into the appropriate fields.  However, make sure not to change any distinctive fields, as the new values will overwrite the original values for all selected companies/contacts.

c.Click Save in the Multi-Edit window. Choose whether you want to add the new information to Selected Companies/Contacts or All (Filtered) Companies/Contacts and click OK.  Remember, “All (Filtered)” means that if you have set a filter so that only thirty of one hundred Companies are visible, those thirty visible companies will constitute “All” for the purpose of the import.
3.If you decide that you do not want to import certain companies/ contacts, you can Delete those records from the list.
a.Click to highlight the record or select multiple records.
b.Click the Multi-Delete button.
c.The Confirm dialog will ask if you want to delete the selected records.  Click Yes to continue deleting.
4.When you have edited, filtered and/or deleted the companies/contacts to your satisfaction, click Finish.
5.In the Post Data box, click Yes to continue the import.

1.The Duplicate Checking box will appear only when importing Company Contacts.  Choose how you want EventPro to deal with duplicate records:
a.Prompt
b.Skip (Do Not Import Possible Duplicates)
c.Ignore (Import All)
d.Mark as “Flagged” (Import All)

2.Click OK.  The companies or contacts will be added to your database.
