Create a New Enquiry in EPWeb

You can begin a new enquiry in EPWeb by clicking the New Enquiry button at the top of the EPWeb pages, or you can start a New Enquiry from EPWeb's Calendar.

The visibility of the New Enquiry button depends on the settings in General Settings: New Enquiry in the EPWeb Configuration.

Remember that users will not have to login in order to create a New Enquiry in EPWeb if you have allowed Anonymous Access to New Enquiries. In that situation, the New Enquiry button will appear on EPWeb's home page even if the user is not logged in.  Review Configuring EPWeb Version 4: General Settings, New Enquiry.

Also remember that if you want to allow anonymous access to Enquiries in EPWeb, you must create a generic "Anonymous" company or contact in your EventPro company/contact database that will act as the company/contact for non-logged-in enquiry-makers. Please refer to Chapter 1: Setting Up EventPro, Step 6: Company/Contact, Entering a New Company: Online Rights and Entering a New Contact: Online Rights.

Enquiries created in EPWeb are pulled into the Enquiries area of EventPro.  See Chapter 8: Enquiries, Converting Online Information in EPWeb Enquiries.

 

The New Enquiry Wizard will go through the following pages: Welcome, Contact Information, Event Information, and Summary.

1.The New Enquiry Wizard may or may not begin with the Welcome page, depending on your selection in General Settings: New Enquiry in the EPWeb Configuration. If there is a Welcome page, click Next to continue.

2.The next page may ask for your Client and Contact Information. The user will be asked for the information if the "Prompt for Contact Details" setting has been selected for the relevant company/contact (i.e. either the company/contact that the user is logged in as, or for the Anonymous company/contact you have created in order to allow anonymous access to new EPWeb Enquiries). Review Chapter 1: Setting Up EventPro, Step 6: Company/Contact, Entering a New Company: Online Rights and Entering a New Contact: Online Rights.

Fill in your client and contact information in the relevant fields. Scroll down to ensure that you see all of the fields.  When you are done, click Next.

At minimum, you must enter a Client Name, First Name, Last Name and Email to continue.

3.The next page asks for Event Information.

Enter any applicable information for your enquiry in the Event Information page.

If you started this new enquiry from the Calendar, some of the information may default in, such as the Location, Dates and/or Times (depending on the Calendar View).
At minimum, you must enter an Event Name, Start Date, End Date and something in the Location/Comments field.
Note that, unlike a New Booking, the person does not select a specific Location from a drop-down list for an enquiry/request.  This is because the person is creating an enquiry, not a booking, and will not be added to the Booking Calendar in EPWeb or EventPro.  The person creating the enquiry may not know yet which room he/she wants to use for the event, or perhaps is not familiar with the various space options at the venue. The enquiry is set up so that a person can either suggest a location, e.g. when making an enquiry from the Calendar, or just state his/her requirements for the event, and the event manager from the venue can respond with specific location options.
When you are done entering event information, click Next.
4.The final page shows a Summary of your enquiry. Scroll down to view all of the information. If you need to correct anything, go Back in the enquiry wizard, make your corrections, and move forward to the Summary again.

5.When you are done reviewing the enquiry, click Finish. The Request Complete page will appear. Click Close.

6.If you set up an Enquiry Notification in the EPWeb Configuration, the person creating this enquiry would receive a notification email.  Review Configuring EPWeb Version 4: Notifications.
7.Enquiries created in EPWeb are pulled into the Enquiries area of EventPro.  See Chapter 8: Enquiries, Converting Online Information in EPWeb Enquiries to review how to access these enquiries in EventPro, and how to convert the online company/contact information into a company/contact in your EventPro database.
