Converting Online Information in EPWeb Enquiries

You can now create an enquiry in the new version of the EPWeb Module. See Chapter 20: New EPWeb Module Version 4, Create a New Enquiry in EPWeb.

Enquiries created online will be pulled into the Enquiries area of EventPro, where you can view and edit them.

1.Find the web enquiry and edit it.  In the Enquiry [Edit] form, there are three tabs: General, User Fields and Online Information. The General and User Field tabs are the same as if you are creating an enquiry within EventPro; review Creating an Enquiry above. Note that the default status of new EPWeb enquiries is determined by your system settings; see Chapter 1: Setting Up EventPro, Step 1: System Settings, Enquiries. The default Assigned To user is determined by the Online User selected in your Events EPWeb Options system settings.
2.However, the Online Information tab is unique to enquiries created online using EPWeb.

3.Click on the Online Information tab. This tab contains the Company and Contact Information entered by the person making the enquiry in EPWeb.

4.You can add this company and contact to your company/contact database in EventPro.
a.This will be particularly relevant if you allow anonymous access to New Enquiries in EPWeb. Because users will not have to login to make an online enquiry, you may not have that company/contact entered in EventPro, and you will need a way to convert that company/contact information into your company/contact database.
b.To review how to allow anonymous access to EPWeb Enquiries, see Chapter 20: New EPWeb Module Version 4, Configuring EPWeb Version 4: General Settings, New Enquiry.
c.Remember also that in order to collect contact information from anonymous enquiries, you need to create a company or contact with the "Anonymous" and "Prompt for Contact Details" flags selected. Review Chapter 1: Setting Up EventPro, Step 6: Company/Contact, Entering a New Company: Online Rights and Entering a New Contact: Online Rights.
5.To convert the online company/contact into an EventPro company/contact, click the Convert button.
a.NOTE: You can also start the conversion directly from the Enquiries screen by viewing the enquiry in the Single Enquiry view or selecting the enquiry in the Enquiry List view, and clicking the Convert button to the right.
6.You have the option to attach this company/contact to an existing company/contact, or create an entirely new company/contact.
7.Using an Existing Company/Contact:
a.The selection grid at the bottom of the Conversion wizard will first display a list of possible company duplicates. Duplicates are determined by your Company Duplicate Checking lists in System Settings; see Chapter 1: Setting Up EventPro, Step 1: System Settings, Contacts. Select the applicable company. If you want to make changes to that company information, click Edit. When you are done editing the company, click the Next button at the bottom of the Conversion wizard.

b.The next page displays a list of possible contact duplicates. Duplicates are determined by your Contact/Attendee Duplicate Checking lists in System Settings; see Chapter 1: Setting Up EventPro, Step 1: System Settings, Contacts. Select the applicable contact. If you want to make changes to that contact information, click Edit. When you are done editing the contact, click the Next button at the bottom of the Conversion wizard.

c.The Enquiry will be assigned to the existing company/contact you have selected.
8.Creating a New Company/Contact:
a.If no company duplicates appear, or you want to create a new company, click the New button on the first page of the Conversion wizard. The Company [New] form appears, containing the information entered by the person who made the enquiry through EPWeb. Edit the information as necessary and click Save.

b.Review the information and click Finish. The new company/contact will be added to your EventPro company/contacts, and the Enquiry will be assigned to that company/contact.

9.Now that the company/contact has been entered into your company/contact database in EventPro, the Online Information tab of the Enquiry will no longer appear in the Enquiry [Edit] form.
