Creating an Envelope Template

You can print envelopes using letter or label templates, but Label Templates are somewhat easier to use for this purpose.

Create an envelope following the steps for creating a Custom Label Template. The example below will describe how to create a standard #10 Business envelope for a company and/or contact.  Note that the merge fields added will be specific to companies and contacts.  If you want to print envelopes for attendees and exhibitors, you will have to create another template for attendees and another template for exhibitors.

1.In the Label Template [New] window, enter the Label Code and Description, e.g. "Env Bus Company" and "Envelope Business Company/Contact".

2.Click the Select Label button.
3.In the Label Templates window, choose either the Dot Matrix or Laser and Ink Jet radio button.

IMPORTANT: Pay close attention to where you create this label. For example, if you create a Laser and Ink Jet label, and later try to find it when you have Dot Matrix selected, you will not be able to find it.

4.Choose the Paper Tray from the drop-down list if you do not want the Default.
5.Select Custom from the Products drop-down list and click the New button to the right.
6.The Custom Label Format [New] window opens. Select a Printer Type. NOTE: As mentioned before, pay close attention to whether you select Dot Matrix or Laser and Ink Jet so that you are later able to find your label.

7.Type in the Label Type and Name, and choose a Unit (Inches or Millimeters).
8.Enter the dimensions for the Paper.  For a #10 envelope, we will use the follow measurements:
a.Paper Width: 9.5 inches
b.Paper Height: 4.125 inches
c.Orientation: Landscape
d.Margins: 0.5 inches for each
9.Now, you must set the Label Properties.  You want the label area to be smaller than the paper size so that the addresses do not run off the edge of the paper.  For our #10 envelope, we're using a Width of 8.5 inches and a Height of 3.05 inches.  You can leave the Row Spacing, Columns and Positions at 0.  Click Preview to view the label.  When you are done click Save.  Note that you will be able to use this #10 custom envelope label again if you want to create other envelope templates.
10.Back in the Label Templates window, your new label will be selected. Click OK. If you later create other envelope templates, you will be able to use your custom label size again by selecting the Custom option and choosing your label template.
11.Now back in the Label Template [New] window, click Edit Label Content.  This will open the Word Processor window, where you can enter Merge fields that will pull in the address information for each recipient.   Note that if you want to use this envelope template for companies and contacts, you will insert company/contact merge fields.  If you want to use the envelope label template for attendees and exhibitors, you will have to create separate templates (still using the custom #10 envelope label you created), inserting attendee- or exhibitor-specific merge fields. Consult the instructions under Word Processor and Merge Fields for more information on how to format the content of your label template.
