New & Enhanced Features from 2009

As we begin the New Year, it is a good time to look back on all of the great new features added to EventPro Software. There have been so many, you may have forgotten about some of them! Review our list below to learn about all the features we added in 2009 to help you save time and work more efficiently.

Remember, in order to take advantage of EventPro’s regular updates, you must have a current Upgrade Protection Plan. We also offer EventPro Training to help you maximize your knowledge of the software. New and Enhanced Features (up to and including Version 6.10.0.692)

Event Maintenance
  • Added a ‘Save and Update Company’ button to the Event Exhibitor edit screen
  • Added ‘Document’ tab to Event Attendee and Event Exhibitor areas, so you can link documents directly to an Attendee or Exhibitor
  • Added an ‘Event Resources’ tab to an event. This tab displays all resources for the entire event, not just a certain location.
  • Added Booked and Available columns to the Attendee and Exhibitor registration areas
  • The ‘Accommodation’ tab of an Event will now be red if there is an Accommodation linked to the Event
  • The ‘Document’ tab color will change to red when there are documents for that event (as with the ‘Comments’ tab)
Company/Contact
  • Added ‘Document’ tab to Company and Company Contact areas, so you can link documents directly to a Company or Contact
  • Added the ability to merge Company Contacts
Resources
  • You are now able to change the Item and Configurations in the Beverage and Catering edits after selecting an item
  • Added a ‘Catering/Beverage: Default item count to one when selecting item’ option to system settings
  • Added a ‘Cashbar (Flat Charge)’ charge type option to use with Beverage items
  • Users are now able to preset the selected items of Beverage and Catering configurations in setup
  • You can now edit the 'Per Person Quantity' field of catering items directly on the grid in the Setup Catering Configuration Edit screen
  • Added ‘View All/View Available’ button to all setup package screen to filter out unavailable packages
Communications
  • Added a ‘Prompt when sending email’ option to System Settings
  • Added various tables to the table selection in the Mail Merge dialog screen
  • Added the Location tab to the filter when doing an Event Mail Merge
  • Added the ability to send notifications from a specific address instead of the address of the person who activates the notification
  • Ability to select how to attach a letter template to an outgoing email and define that format (.pdf or .rtf) in setup

Locations

  • Added the ability to copy setup location rates from one location to many locations
  • To accommodate the setting of location status' when appending locations to an existing booking the status entry field has been moved to the location defaults page of the Booking Wizard
  • Added a ‘Round up to’ feature to location rate codes that will round up the duration of the location rental to the nearest value selected when calculating the location rental charge
  • Setup Location Types now have an available field for use when the location setup type is no longer needed (but in use by older events)
  • Added an ‘Add Another’ prompt when adding resources to multiple locations
  • Optimized the location update and location delete procedures
Booking
  • Added a new option to the booking grid display options (Assigned To, Function Name, Customer Name)
  • Added an ‘Event’ option to the ‘Display Text In Grid Cells’ drop down in the Booking Calendar preferences
  • To accommodate the setting of location status' when appending locations to an existing booking the status entry field has been moved to the location defaults page of the Booking Wizard
  • Added an Event grid to the web booking notification dialog and the ability to go to the web booking
  • Added the Event Category and the Event Sub Category fields to the Booking Calendar popup
  • Added the Accommodation tab to the final screen in the Booking Wizard
  • You can now specify the attendance defaults for locations in the Booking Wizard
  • Added a new ‘Event Name, Function Name’ option to the booking grid preferences when selecting the ‘Display Text in Grid Cells’ option
Actions
  • Added a ‘Go To Event’ button on the reminder screen
  • Added ‘Complete’ button to the Action grids to quickly complete an action without having to go into the Edit screen
  • The Action Calendar will remember your filter selections for Assigned User, Status and Category
  • When completing an action in either the Reminder screen or from the Action grid, you can now select the status to complete the action with (If you have more than one action status of type ‘Completed’)
Reports
  • Added a ‘Show Related Locations’ option to the ‘Week Calendar Summary by Location’ report
  • Added a ‘chkHideZeroSummaryDiscount’ option to the ‘Event Confirmation Sheet’ report to hide the discount value in the summary area when the total discount is 0
  • You can now export multiple custom reports at the same time
  • Added ‘InvoiceDetails’ pipeline to the ‘Receipt’ report
  • Added ‘TotalActAttend’ and ‘TotalEstAttend’ fields to the ‘DayTotals’ pipelines
  • Users can now click and drag display fields on Event Calendar reports in order to change the display sequence
  • Added the 'Location Filter' option to all Event Maintenance reports
  • Added the ‘EventDetailLocFeatures’ and the ‘EventDetailLocSetupTypes’ pipelines to Event Maintenance reports
  • Added ‘Event Location’ pipeline to the ‘Event List’ report
  • Added Catering and Beverage category and detail pipelines to the ‘Daily Booking List’ reports
  • Added ‘RateCodeDescription’ field to the ‘EventDetail’ pipeline of all Invoice reports and under the Event Location dataset in setup letter/label templates
  • Added a ‘<TAXES>’ option to the 'Account Group Summary' reports to allow display of the tax total in a column of the report
  • Added a ‘NumEvents’ field to the ‘Customer Utilization Summary’ report
  • Added Location sort option to the ‘Week Calendar Summary by Location’ report
Finance
  • Added the ‘GLAcctCode’ field to the SAGE accounting export
  • Added a ‘Do not set default taxes for deposit and credit invoice items’ option to the system settings
  • Added the ability to recreate payments (If the user has the appropriate right)
  • Added 'PO ', 'Contact Name', and 'Contact Address' fields to the Adept accounting export
  • Added a ‘Don't export zero price items’ option to the Adept accounting export to let the user control whether or not they want to export zero priced invoice items
  • Added Finance One to the finance export options
  • You can now apply payments when creating a deposit invoice in the wizard
  • Added ‘Item Date’ and ‘Item Description’ to the Adept invoice export
Accommodations
  • Added the ability to edit Setup Room comments straight from the Accommodation Calendar (right click the room label on the left of the calendar to activate)
  • Added Company Name to the ‘Accommodation – Calendar’ cell text
  • Added sort capability to the grid in the ‘Accommodation Calendar’ area
  • Added a 'Print' button to the Room grid in the Accommodation area allowing printing of the ‘Accommodation Reservation Confirmation Sheet’ filtered just for the selected room
  • Double clicking a reservation on the Accommodation Calendar will take you to that reservation in single reservation mode or reservation list mode, depending on which mode is selected in your system settings
  • The ‘Accommodation’ tab of an Event will now be red if there is an Accommodation linked to the Event
  • The Accommodation area will now remember what reservation was selected in the main Finance area (if an invoice that is linked to an Accommodation Reservation is selected)
Enquiries
  • Added the ability to set start and end times on an Enquiry. These times will be carried over if you select the enquiry in the Booking Wizard
  • Added the ability to use the calculator when entering a value into the ‘Estimated Value’ field of the enquiry edit
  • Added ‘GL Acct Code’ and ‘ Cost Center ’ fields to the Enquiry – Edit screen. These new fields will be copied over when creating an Event from an Enquiry
Filter/Find
  • Added the Location tab to the filter when doing an Event Mail Merge
  • Added an Event Booth find to the Event Booth grid and the Event Exhibitor Booth edit
System
  • Added ‘Restriction Default Time From’ and ‘Restriction Default Time To’ options to the System Settings so you are now able to set the default times for restrictions
  • Added a ‘Prompt when sending email’ option to System Settings
  • The ‘Allow users to accept FULL conflicts:’ option has been moved to the ‘User Rights – Access Events’ area to allow this option on a per user basis
  • Added a ‘Date format when merging data’ option to System Settings to allow different date formats when merging data
  • Added the ability to define custom colors for status codes
  • Added a ‘Do not set default taxes for deposit and credit invoice items’ option to the system settings
  • Added a ‘Catering/Beverage: Default item count to one when selecting item’ option to system settings
  • Setup Location Types now have an available field for use when the location setup type is no longer needed (but in use by older events)
  • You can now specify Miscellaneous discounts in the Setup - Company Discounts area
  • Added User selections to the 'User Role' system settings so users can define default users for each event role
  • Added system setting to indicate whether or not to have all items to copy selected or not
  • You can now choose cities from a drop down or type your own in. Cities are stored in the Setup – General Lookup Tables area of the program.
  • Increased the size of 'First Name' and 'Last Name' fields throughout the program
  • Added the ability to Shift-Select checkboxes in a check list box
EPMobile Module
With the new EPMobile Module, EventPro users have the opportunity to check booked events on the calendar, make booking requests, find events and search for available space, straight from their mobile device.
