Feature in Focus: Invoices for Every Situation

Invoicing is an integral part of any events-based business, which is why EventPro includes a comprehensive and easy-to-use invoicing system. The most convenient invoicing option for EventPro, and therefore the most often used, is the Automatic Invoice, which automatically calculates the total for all chargeable items in the event, or directed to an attendee, exhibitor or accommodation booking. However, did you know that there are other invoicing options in EventPro’s Finance area?

  • If you are ready for a more advanced feature in the Automatic Invoice, you can choose to invoice only certain Items, certain Types of items or a Percentage of the total charges. When you later invoice the balance of the charges, EventPro will calculate the correct remaining charges to invoice. So, for example, you could split event costs between two parties 50/50, or invoice a customer for 75% of all costs before the event and invoice the remainder (automatically calculated for you) after the event occurs.
  • If you have many invoices to create, and time is of the essence, the Batch Invoicing feature allows you to create multiple invoices for all events or all attendees/exhibitors in an event with one easy-to-use Invoice Wizard.
  • If you want more flexibility in creating invoices, you can create Manual Invoices, which can begin blank or with a calculated percentage of the total charges. You can freely add, edit or remove line items in the invoice.
  • Special Deposit Invoices allow you to deduct amounts from future invoices. For example, if you create a deposit invoice for an event, and later create an automatic invoice for the event charges, you will have the option to deduct the amount of the deposit invoice from the event charges invoice.
  • Finally, Credit Invoices allow you to credit a customer for items that were invoiced, but for which you will not receive payment. This eliminates the need to void and recreate invoices if an item must be removed from an invoiced event.

Helpful Hint: Email Quick Fix

If for some reason, your EventPro emails suddenly stop sending, a quick re-set of your email settings sometimes fixes the problem. Try this quick fix before contacting Support.

Open the program and select Email Settings from the File menu. In the Email Settings window, take note of your current settings. Now, go into each field below Email Method (Profile Name, Password, etc.) and delete what is entered in each. When you have blanked out the fields, select None as the Email Method and click Save.
Now, return to the File menu and select Email Settings again. In the Email Settings window, re-set all of the correct options for your Email and click Save. Hopefully, this has corrected the problem with your email. If you are still having problems, contact Support and explain that you already tried re-setting your email settings.

Did You Know? Wizards Make Tasks “Magically” Easy

Did You Know… that EventPro Wizards are specially designed to make your job easy? For many important tasks, EventPro’s Wizards guide you through the important steps of a process to ensure that all necessary information is captured. Wizards make EventPro exceptionally user-friendly and minimise the learning curve, which is a great benefit for users with minimal computer experience or for new employees.

For example, EventPro’s Booking Wizard guides the user through creating a new booking, from selecting the dates to choosing the customer to entering contract information. The Booking Wizard is both comprehensive and flexible, so that you can enter as much or as little information as you need. If you want to add every detail – event comments, setup equipment, staffing, catering, beverages, packages, and images – you can. If you’re in a hurry and just want to get the basic information in the system – no problem! Skip the steps you don’t need for now and add the information later. The Booking Wizard also incorporates automatic conflict checking to safeguard against double-booking rooms or resources.
