EventPro’s reports cover all different areas of the program. For example, you can use the Event Maintenance Reports to run a Booking Slip, Confirmation Sheet or Banquet Event Order (BEO). Under Financial Reports, you can print Event Balances, Aged Invoices, Revenue vs Cost reports, and many more. With the Event Reports, you can view Location Availability, Location Use, and Location Conflicts. If you have the optional EventPro modules, you will be able to access special reports for Attendees, Exhibitors, Enquiries and Accommodations. |
There are many more reports in EventPro, which should cover all your reporting needs, but if you have more specific requirements, you can customise existing reports or create entirely new reports in EventPro’s built-in Report Designer. NOTE: Customising and producing new reports requires previous experience with SQL scripts and report building. |
Most of EventPro’s reports can display different information depending on the options you select for the date range, included items, filtering, sorting, etc. After you run a report, EventPro gives you the option to print, view on-screen, email, or save the report to file. If saving your report to file, you can choose from a range of formats, including RTF, Excel, HTML, JPEG, and PDF, due to EventPro’s seamless integration with Windows® and applications such as Microsoft® Office. |

Helpful Hint: Cleaning House with EventPro Purge |
|
If your database is getting larger and larger by the day, it may be time to purge some stuff you don’t need anymore. EventPro has several purge options contained under the Utilities menu. For example, you can clear out completed actions or read messages. You can also purge completed events to a historical database, so that even though the events no longer take up space in your main database, you can still find the events in the historical database if necessary. |
If you have many catering options set up in EventPro, but only select a handful in each event, a handy purge is Delete Unused (Unselected) Catering and Beverage Detail. This will delete the unused catering and beverage records without affecting the catering and beverage items you actually chose for the event. |
If you embed medium or large images into your communications, another useful utility for clearing unnecessary information from your database is Remove Letter Images from Communications. If you send many communications with embedded images, you may want to run this utility monthly. |
For more information about utilities such as purging and how to use them, refer to Chapter 16: Utilities in the EventPro User Manual. Remember that any time you run utilities, you should create a complete backup of your data, in addition to the regular data backups you should already be running. |

Did You Know... How to Track Attendee Communications? |
|
Did You Know… that the Linked Criteria Filter allows you to determine which attendees have or have not received certain communications? For example, say you have a list of attendees, only half of whom have received an event invitation. You know how to filter the list to find those attendees who have received the invite, but can you create a list of attendees who did not receive it? Yes, you can... with Linked Criteria. |
The key to using Linked Criteria is to create a system of Communication References and use them consistently. For example, in your General Lookup Tables, you could create a communication reference called “Invitation Sent”. Then, each time you send an invitation to an attendee, you must select “Invitation Sent” as the communication reference. Later, if you create a filter in the Filter Criteria window, with the intention of viewing attendees who did not receive an invitation, you would select the Communication Reference of “Invitation Sent” in the Communications tab and select Exclude from the Linked Criteria drop-down list in the Attendees tab. The resulting view will display attendees who do not have an “Invitation Sent” communication in their records, therefore creating a list of attendees to whom you must send invitations. If you want to see attendees who received the communication, you would Include the linked criteria. |
You may have hundreds of attendees and thousands of communications in each event. Use the Linked Criteria Communications Filter to ensure that important communications don’t get lost in the shuffle.
