Helpful Hint: Linking Images Saves Space |
|
| If you have logos or pictures in your EventPro Word Processor documents, you may have noticed that you have two options when inserting graphics: Graphic – Linked and Graphic – Embedded. What’s the difference? |
When a linked object is inserted into a document, it is still stored externally from the document. The printed or viewed document will find the graphic in the specified folder and include it in the output. An embedded object, however, actually becomes part of the document, which increases the size of the document. Consequently, if you embed graphics into many documents, they will use up a lot of space in your database. That is why we recommend linking graphics 100 KB or larger, or sometimes even linking smaller graphics that are frequently used in multiple documents. |
With linked graphics, you want to make sure that EventPro can always find where they are stored, or they will not show up in the document. In your System Settings, under the General tab, enter the default Attachments & Images Folder. Make sure that you store required graphics in that folder so that you and other users will be able to access them when selecting Insert | Graphic – Linked in the Word Processor. IMPORTANT! Do not move the graphics from the folder if they are linked in documents. If moved from the folder, the graphics will disappear from the documents. |

Did You Know? Delivery and Offsite Event Management |
|
| Did You Know… that although you typically use the EventPro Booking Calendar for the physical locations that you manage, you can also use it to conveniently manage deliveries and offsite events at other locations? By simply having locations on the Booking Calendar such as “Offsite”, or “Deliveries North” and “Deliveries South”, you can easily book your deliveries using EventPro. This has always been the case, but recent software developments make it even easier. |
First, in Location Setup, you can now assign an Address to a Location. You can manually enter the address, or set it to default to the location owner, event venue company or event venue contact. Second, in the Booking Wizard, there is now an option to choose a Venue company and contact. If you set up the location so that it defaults to the venue company/contact address, that address will be automatically pulled in when you book an event in the location. After the event is booked, you still have the option to manually enter the address, as well as any Delivery Notes. |
The address and delivery notes can then be included on reports such as the Daily Bookings Lists to produce daily delivery reports. If you had delivery locations set to North and South, for example, you can easily filter the delivery report down to the areas. This would be particularly helpful if you have a driver for each direction of the city and want to easily produce a report that only lists each individual driver’s deliveries with all of the associated delivery addresses and important delivery notes. |
For more information about using these areas of EventPro, refer to the EventPro User Manual, specifically: |
